Mailing List Policy

Purpose

This policy sets out how SANJAYCOOKS/Sanjay Bhattacharya (“we” “us” “our”) operates its mailing list(s), including how subscribers are added, what communications they receive, how their data is used and stored, and how they can manage their subscription. The aim is to be clear, lawful and respectful of subscriber preferences.

Who this applies to

This policy applies to all individuals who subscribe to SANJAYCOOKS marketing, events and service-related mailing lists, whether via the website, in-person events, by phone or through third-party partner sign-ups.

What we send

Subscribers may receive:

  • Newsletters about SANJAYCOOKS services (private dining, cookery classes, wild game butchery classes), special offers and seasonal events.

  • Booking confirmations, class information, reminders and follow-up communications relevant to purchased services.

  • Invitations to surveys or feedback requests to improve our services.

  • Occasional partner promotions only where explicit consent has been given.

Consent and lawful basis

  • Marketing communications are sent only with the subscriber’s explicit consent (opt-in) or where we have another lawful basis under data protection law (for example, contractual necessity for booking confirmations).

  • Consent is obtained in a clear, unambiguous manner and recorded.

  • Subscribers may withdraw consent or opt out at any time without affecting services already paid for.

How to join

  • Individuals can join via a sign-up form on our website, at events, by phone or by other direct means.

  • Sign-up forms will clearly state the purpose(s) of the mailing list and what types of communications to expect.

  • Double opt-in may be used to verify email addresses and confirm consent.

How to leave (unsubscribe)

  • Every marketing email contains an easy and free unsubscribe option.

  • Requests to unsubscribe received by email, phone or post will be processed promptly, normally within 5 working days.

  • Where the subscriber remains a client with active bookings, transactional communications (booking confirmations, class information and service-related messages) may continue as necessary for fulfilment of those services.

Data collected and retention

  • We typically collect name, email address and, where relevant, phone number and booking details.

  • We keep mailing list data only for as long as required for the purposes consented to, or as needed to comply with legal or contractual obligations.

  • Inactive email addresses may be removed after a reasonable period (for example, 24 months) of non-engagement, following a re-permission attempt.

Use and sharing of data

  • Personal data is used only for the stated purposes and in line with applicable data protection laws.

  • We do not sell personal data to third parties.

  • Data may be shared with trusted service providers (for example, email delivery platforms, booking systems) who act as data processors on our behalf. Such providers are contractually bound to process data securely and only for the agreed purposes.

  • Data will be disclosed only where required by law or to protect the rights, property or safety of SANJAYCOOKS, subscribers or others.

Security

  • Reasonable technical and organisational measures are in place to protect mailing list data from unauthorised access, loss or alteration.

  • Access to subscriber data is limited to staff or contractors who need it to perform relevant tasks.

International transfers

  • Where personal data is transferred outside the UK or the European Economic Area, appropriate safeguards will be implemented (for example, standard contractual clauses) to ensure adequate protection.

Children

  • Our mailing lists are intended for adults. We do not knowingly collect personal data from children under 13 via our mailing list sign-ups. If we become aware we have inadvertently collected information from a child, we will delete it promptly.

Subscriber rights

Subscribers have rights under data protection law, including:

  • The right to access their personal data.

  • The right to rectification of inaccurate data.

  • The right to erasure (right to be forgotten), subject to legal or contractual retention requirements.

  • The right to restriction of processing and to object to processing for direct marketing purposes.

Complaints

If a subscriber has a complaint about how their personal data is handled, they should contact SANJAYCOOKS first so we can investigate and attempt to resolve the issue. Individuals also have the right to complain to the Information Commissioner’s Office (ICO) or the relevant supervisory authority.
